This Privacy Policy applies to CADCrawl, including the public website, account dashboard, desktop application, local processing features, and related hosted services used to provide the product.

CADCrawl is designed to help users index local CAD archives, search older work in plain English, review previews and context, and reopen relevant files faster.

Important processing note

CADCrawl is not a general-purpose cloud file storage service. Some features, including AI-assisted search and indexing features, may require limited file-derived content to be processed by cloud services.

2. Collection

Information we collect

Information you provide directly

This includes information you submit through the website or product, such as your email address, waitlist details, support messages, billing-related communications, purchase details for recurring subscriptions or one-time plans such as lifetime access, and optional product feedback.

Account and subscription information

When you create or use an account, we may process your account identifiers, sign-in status, profile details, subscription or one-time purchase status, onboarding state, and related account records.

Device, session, and security information

We may process device information, session information, log data, abuse-prevention records, and other security-related metadata needed to operate and protect the service.

Local file, index, and search information

On your device, CADCrawl may process file paths, filenames, file types, timestamps, extracted text, generated previews, embeddings, search history, selected search scopes, and related retrieval metadata.

Authentication credentials

Authentication and credential handling may be managed through third-party account and identity services. The desktop app may also store local sign-in state and related app data on your device.

3. Use

How we use information

We use information we collect to:

  • operate and secure the website, dashboard, desktop app, and related services;
  • authenticate users and link the desktop app to the dashboard account;
  • activate and manage subscription access, lifetime access, and onboarding state;
  • index local folders, generate previews, create embeddings, and return ranked matches;
  • support AI-assisted features, protect the service, and investigate misuse;
  • analyze product usage, reliability, crashes, and feature performance;
  • send waitlist or product updates where you requested them;
  • respond to support, billing, legal, and privacy requests; and
  • comply with law, enforce our Terms, and protect CADCrawl, users, and third parties.

4. AI Processing

How AI-assisted features work

What stays local

Many core product functions run locally on your device, including indexing, preview generation, local storage, and parts of the retrieval workflow.

What may leave your device

To support AI-assisted features, CADCrawl may transmit search queries, extracted text, file metadata, summaries, and other limited file-derived content to third party AI and cloud processing services.

Practical consequence

If you use cloud-backed search or indexing features, file-derived content can be processed by third-party services. Only use those features for files and content you are authorized to process in that way.

5. Sharing

How we share information

We may share information with service providers and partners only as needed to operate, secure, analyze, support, and sell the service.

Service provider categories

These may include authentication providers, cloud infrastructure and security services, analytics services, customer support tools, AI processing services, and payment, billing, and tax providers.

Business and legal disclosures

We may also disclose information where reasonably necessary for legal compliance, fraud prevention, security, contract enforcement, dispute handling, or a corporate transaction such as a merger, financing, reorganization, or sale of assets.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising as those terms are commonly used in U.S. state privacy laws.

7. Retention

How long we keep information

Local data created by the desktop app generally remains on your device until you remove it, clear app data, or uninstall the app.

Unless a shorter period is required by law or explicitly stated for a specific feature, CADCrawl may retain server-side business, waitlist, account, subscription, billing, security, analytics, support, and legal records for up to 75 years for continuity, auditing, safety, fraud prevention, dispute resolution, legal compliance, and archive purposes.

Why retention may differ by category

Some records are actively used for current service operation, while others persist for historical accounting, incident review, product integrity, or legal recordkeeping. Backup copies and derived logs may therefore remain available for a period after deletion requests or account closure, subject to legal and operational constraints.

8. Rights

Your choices and privacy rights

You can choose to:

  • stop using the service and uninstall the desktop app at any time;
  • remove local app data and indexed roots on your device;
  • update your account information and, where available, change your password;
  • opt out of waitlist or marketing emails by using the unsubscribe method we provide;
  • cancel subscription renewal through the billing workflow we make available; and
  • contact us to request access, correction, or deletion, subject to legal exceptions.

If you are protected by an applicable U.S. state privacy law, you may also have rights to know, access, correct, delete, or appeal decisions about your personal information. We may need to verify your identity before acting on a request.

9. Security

Security, international processing, and contact

We use administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

CADCrawl is focused on the U.S. market, but our service providers may process data in the United States and other countries where they operate. By using the service, you understand that information may be transferred to and processed in jurisdictions whose privacy laws may differ from those in your location.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date on this page. Material changes may also be communicated through the product, dashboard, email, or other reasonable means.
